Job description

Job Responsibilities:

  1. Monitor the daily schedule of the Department Head/ Skywards Leadership Team and furnish required information/documentation for meetings/appointments, by coordinating with sources within and outside the Department.
  2. Provide other secretarial services to the Department Head/ Skywards Leadership Team on a timely and efficient basis.
  3. Be fully conversant with the activities of the organisation to liaise effectively and in a professional manner with senior executives and external contacts on behalf of the Department Head/ Skywards Leadership Team.
  4. Screen incoming mails and telephone calls, action responses, re-direct correspondence and collate to the appropriate person obtaining additional information where necessary.
  5. Assist Skywards Administration Officer in supervising the Department's attendance records, overtime claims, duty travel claims, and validating such claims are prepared within financial guidelines and relevant company policy.
  6. Assist Skywards Administration Officer by verifying authenticity of claims ensuring figures are accurately recorded and analyze the department cost report to ensure necessary budgetary control.
  7. Assist Skywards Administration Officer in the execution and project management of all departmental engagement initiatives like staff events and celebrations.
  8. Assist Skywards Administration Officer in handling high profile member requests pertaining to Skywards and any Skywards related complaints received from the executive team and high-profile members.

Qualifications:

To be considered for this role, you must meet the below requirements:

  • General administration experience: 3+ years
  • 12 years of schooling or equivalent
  • Experience in an administration environment, preferably in a similar capacity
  • Proficient in MS Office packages
