Alokozay Group of Companies is looking for a detail-oriented Admin & Procurement Executive to provide administrative as well as procurement support to ensure the efficient operations of the office. The ideal candidate will possess a proven track record in administration and procurement with strong analytical skills and effective communication abilities.
Key Responsibilities:
Admin Duties:
Answer phone calls, direct inquiries, and take messages.
Handle incoming and outgoing mail, including emails and physical correspondence.
Maintain office supplies and inventory.
Organize and schedule appointments and meetings.
Assist with data entry and maintain accurate records.
File and organize documents both physically and digitally.
Schedule and organize meetings, including setting up rooms, equipment, and refreshments.
Assist with travel arrangements, including booking flights, accommodation, and transportation.
Provide support to senior staff and management as needed.
Oversee the end-to-end procurement process, from requisition to delivery, ensuring adherence to company policies.
Collaborate with suppliers to obtain quotes, negotiate terms, and place purchase orders.
Maintain accurate records of purchases, pricing, and supplier performance.
Follow up to ensure timely issuance of purchase orders, delivery of goods and services, and completion of payments.
Work closely with internal teams to assess their procurement needs and provide tailored support before and after the issuance of Purchase Orders.
Conduct market research to identify and evaluate potential suppliers.
Handle the preparation and issuance of purchase orders and related documentation.
Foster strong relationships with suppliers and negotiate favorable contracts and terms.
Execute data entry, reporting, and maintain the procurement database as required.
Perform other related tasks as necessary, including coordinating with logistics to ensure seamless delivery of goods.
Desired Candidate Profile:
Skills and Qualifications:
Bachelor’s degree in Administration, Office Management, Procurement or a related field.
A minimum of 4 years of proven experience in administration and procurement in the UAE.
Priority for FMCG experience; however, candidates from Manufacturing, Trading, and Construction industries will also be considered.
Strong knowledge in procurement strategies and best practices.
Strong negotiation skills and the ability to build relationships with suppliers.
Proficient in Oracle, SAP, or similar ERP systems, as well as Microsoft Office Suite (especially Excel).
Strong analytical skills with the ability to work with data.
