Office Executive – Accounting & Operations
(based in JAZFA, United Arab Emirates)
Organization: Reporting directly to the General Manager based in UAE and working closely with colleagues from the finance and management team in the Singapore office, this role is critical in supporting company’s growth in the Middle East market, ensuring operational efficiency and compliance with UAE regulations. This position focuses on administrative, accounting, and shipping/logistics responsibilities.
Your Responsibilities:
Administrative Support: Manage day-to-day office operations, including office visitor management. Maintain and update customer and supplier databases. Coordinate with JAFZA authorities for work permits and free zone access. Support HR paperwork and liaise with internal finance team as well as external bookkeeping and auditing firms.
Accounting and Financial Support: Prepare and send invoices. Reconcile AR/AP and perform partial accounting to the general ledger. Assist in cash flow management, monthly reporting, and budgeting. Use Tally or SAGE accounting software for financial tasks.
Order and Logistics Management: Process orders to headquarters and external suppliers. Manage import/export logistics, including registering goods and inventory receiving. Address regional logistic issues and ensure timely deliveries.
Customer Service and Reporting: Handle inquiries and provide customer service support. Ensure accurate and timely reporting for internal and external stakeholders.
