Job description

Job Summary:
We are looking to hire an Admin Assistant for a reputable logistic company in Dubai (JEBEL ALI FREE ZONE JAFZA) who will provide administrative and clerical support to the logistics team ensuring smooth day-to-day operations. This role requires excellent organizational communication and multitasking skills to handle diverse tasks related to logistics and supply chain management.

Key Responsibilities

Administrative Support:

  1. Maintain and update filing systems records and documentation.
  2. Draft correspondence memos and reports.
  3. Manage incoming calls and emails directing them to appropriate team members.

Logistics Coordination:

  1. Assist in scheduling and coordinating shipments deliveries and pickups.
  2. Maintain shipment logs and update tracking details.
  3. Communicate with clients and vendors to confirm delivery details.

Data Management:

  1. Input and maintain data in logistics management software.
  2. Generate reports on shipment status delivery timelines and operational performance.

Inventory Support:

  1. Monitor inventory levels and prepare purchase orders when needed.
  2. Coordinate with the warehouse team for stock management and replenishment.

Compliance and Documentation:

  1. Ensure all shipping documents invoices and permits are accurate and up-to-date.
  2. Maintain compliance with company policies and logistics regulations.

Team Collaboration:

  1. Work closely with drivers dispatchers and the logistics team to resolve operational issues.
  2. Coordinate meetings take notes and distribute minutes.

Qualifications and Skills

Education:

  1. Bachelor's degree in Business Administration Supply Chain Management or a related field preferred.

Experience:

  1. Proven experience as an administrative assistant or in a similar role (experience in logistics is a plus).

Technical Skills:

  1. Proficiency in MS Office (Word Excel PowerPoint Outlook).
  2. Familiarity with logistics or inventory management software (e.g. SAP Oracle or WMS).

Soft Skills:

  1. Excellent organizational and multitasking abilities.
  2. Strong written and verbal communication skills.
  3. Problem-solving mindset and attention to detail.

Other:

  1. Knowledge of logistics processes and documentation.
  2. Ability to work under pressure and meet tight deadlines.

Work Schedule:
9am - 6pm Working days will be discussed in the interview.

Salary:
AED 4000 - AED 5000
