Marks Real Estate LLC is seeking a proactive and detail-oriented Admin Assistant to General Executive to provide administrative and financial support. The role involves handling payment requisitions, managing supplier accounts, and supporting real estate projects' financial activities while ensuring compliance with Ajman-specific regulations.

Responsibilities:

Administrative Support:

  1. Manage the general executive’s schedule, including appointments, meetings, and travel arrangements.
  2. Prepare reports, presentations, and correspondence for executive use.
  3. Maintain organized filing systems for contracts, payment records, and project documentation.
  4. Handle incoming and outgoing communications, ensuring timely and professional responses.
  5. Prepare and process payment requisitions for suppliers, ensuring accurate documentation and compliance with internal guidelines.
  6. Verify supplier invoices and match them against contracts or purchase orders for approval.
  7. Maintain records of supplier accounts, tracking outstanding balances and due dates.
  8. Oversee payments related to real estate projects, such as contractor fees, procurement costs, and service charges.
  9. Reconcile project expenses and prepare detailed summaries for executive review.
  10. Work closely with the finance team to ensure timely payment processing and resolution of any discrepancies.

Project Support:

  1. Assist in the financial tracking and reporting for ongoing real estate projects.
  2. Support the preparation of project-specific reports, including cost analysis and updates.
  3. Ensure all financial transactions related to projects comply with Ajman real estate regulations.
  4. Communicate with suppliers regarding payment schedules, outstanding invoices, and required documentation.
  5. Liaise with project teams to gather necessary information for payment approvals.
  6. Provide accurate and updated payment statements to suppliers and stakeholders as needed.

Office Operations:

  1. Oversee office supply inventory and coordinate procurement as required.
  2. Organize meetings, events, and workshops for the team.
  3. Provide administrative support for daily office operations and compliance with company policies.

Compliance & Reporting:

  1. Ensure proper documentation of all payments in alignment with Ajman Municipality and regulatory requirements.
  2. Compile monthly reports, including financial summaries and project updates, for the general executive.
  3. Assist in regulatory filings and audits, preparing relevant documentation as needed.

Experience:

  1. Administrative assistant: 1 year (Preferred)
