Job description

An Accounts Assistant (Receivable) is responsible for managing and overseeing the company's incoming payments and maintaining the accuracy of financial records related to accounts receivable. This role supports the finance or accounting department to ensure that all payments are processed on time, invoices are accurate, and that customers' accounts are properly maintained.

Key Responsibilities:

  1. Invoice Management:
    Prepare and issue invoices to customers based on orders or contracts.
    Ensure accuracy and compliance with terms of sale.
    Track the status of invoices, ensuring timely payments.
  2. Accounts Receivable Management:
    Maintain and update accounts receivable records in accounting systems.
    Monitor and review accounts receivable aging reports.
    Follow up on outstanding customer invoices via calls, emails, or letters.
    Ensure that payments are applied to the correct accounts.
  3. Payment Processing:
    Process incoming payments by recording checks, wire transfers, or electronic payments.
    Reconcile payments with invoices to ensure correct amounts are applied.
    Record discrepancies and take corrective action when necessary.
  4. Credit Management:
    Assess credit risk by reviewing customer credit histories and setting appropriate credit limits.
    Work with the sales or management team to make decisions about credit terms or limits.
  5. Customer Service:
    Provide support to customers regarding payment inquiries, discrepancies, and account balances.
    Resolve billing disputes and work with other departments as needed.
  6. Reporting:
    Prepare periodic reports on accounts receivable balances and aging.
    Assist in preparing reports for senior management or auditors.
  7. Reconciliation:
    Assist in month-end and year-end closing processes.
    Perform regular reconciliations of accounts receivable against the general ledger.
  8. Compliance:
    Ensure compliance with internal policies and external regulations concerning billing and receivables.
    Maintain confidentiality of financial data and customer information.

Required Skills and Qualifications:

  1. Proficiency in accounting software (e.g., QuickBooks, SAP, Excel).
  2. Strong attention to detail and ability to spot discrepancies.
  3. Good understanding of accounting principles and practices.
  4. Strong communication skills, both written and verbal.
  5. Organizational and time-management skills.
  6. Ability to work independently and as part of a team.
